1. Who is responsible for your data
Amazing Translations, with its office at C. la Golondrina, 12, 11205 Algeciras, Cádiz, Spain, is the data controller for the personal data described in this policy. You can reach us at support@amazing-translations.com or +34 602 038 010 for any question about your data or to exercise your rights.
2. What data we collect
We collect only what we need to quote, confirm and deliver your translation or interpreting order:
- Contact details — name, email address and phone number, provided through our quote form, contact form, or when you place an order.
- Delivery details — postal address, only if you choose a posted hard-copy delivery option.
- Order and document details — the service you've requested, the document type and language pair, and any description or file you send us to prepare your quote or translation. Our website is static and cannot accept a file upload directly; where you send us a source document by email in reply to our confirmation, we handle it as part of delivering your order.
- Payment-related information — for orders placed through our checkout, the payment method you choose (bank transfer / pay-on-invoice, or a demonstration payment simulation while our checkout is in mock mode — see our Cancellations & Refunds Policy). We do not collect or store card numbers.
- Technical and usage data — only with your consent, through Google Analytics 4 (see our Cookie Policy). Your IP address is anonymised before analysis. Without your consent, no analytics data is collected.
3. Why we process your data, and on what legal basis
| Purpose | Legal basis |
|---|---|
| Preparing a quote and confirming an order | Performance of a contract, or steps taken at your request before entering one (Art. 6.1.b GDPR) |
| Producing and delivering your translation or interpreting service | Performance of a contract (Art. 6.1.b GDPR) |
| Responding to a contact or quote enquiry | Steps taken at your request before entering a contract (Art. 6.1.b GDPR) |
| Keeping accounting and invoicing records | Legal obligation under Spanish commercial and tax law (Art. 6.1.c GDPR) |
| Understanding how our site is used, to improve it (Google Analytics 4) | Your consent (Art. 6.1.a GDPR) — see our Cookie Policy |
| Preventing spam and abuse of our forms | Legitimate interest in keeping our services secure and usable (Art. 6.1.f GDPR) |
4. How long we keep your data
We keep quote and order details, and the documents you send us, for as long as needed to deliver your service and to support the free 14-day correction window described in our Cancellations & Refunds Policy. Invoicing and accounting records are kept for the periods required by Spanish commercial and tax law (currently up to six years for commercial records). Where you've contacted us but no order followed, we keep that correspondence for a reasonable period to handle any follow-up, and delete it once it's no longer needed. You can ask us to delete your data sooner at any time — see Section 7.
5. Who we share your data with
We don't sell your data. We share it only where it's needed to run the site and deliver your order:
- Form-submission and email providers, where our contact/quote/order forms are configured to send through a third-party form-processing service, so we receive your enquiry. If no such service is configured, your submission is sent directly by email instead.
- Google Analytics 4, only once you've given analytics consent — see our Cookie Policy. Data may be processed by Google outside the EU under the EU-US Data Privacy Framework or equivalent safeguards.
- Official registries, colleges or ministries, only where you've asked us to coordinate an apostille or legalisation on your behalf, and only the document details needed for that specific procedure.
- Where required by law, to a competent public authority.
6. International transfers
Where a provider we use (such as Google, for Analytics) processes data outside the European Economic Area, that transfer relies on the EU-US Data Privacy Framework, Standard Contractual Clauses, or another safeguard recognised under GDPR Chapter V.
7. Your rights
Under GDPR and the LOPDGDD, you can ask us, free of charge, to:
- Access the personal data we hold about you.
- Rectify it if it's inaccurate or incomplete.
- Erase it, where we're not required to keep it for a legal reason (such as accounting records).
- Restrict or object to our processing of it.
- Receive a copy in a portable format, where applicable.
- Withdraw your consent at any time, for anything based on consent (such as analytics), without affecting processing carried out before withdrawal.
To exercise any of these rights, write to support@amazing-translations.com. If you believe we've mishandled your data, you can also lodge a complaint with the Spanish Data Protection Agency (Agencia Española de Protección de Datos, AEPD, www.aepd.es).
8. Security
We take reasonable technical and organisational measures to protect your data against unauthorised access, loss or misuse, proportionate to the nature of the data we hold.
9. Changes to this policy
We may update this policy as our services or legal obligations change. The date at the top shows when it was last revised; material changes will be reflected here.
